Who we are

Digital Prop Studio, Koning Boudewijnlaan 58, 8310 Bruges, Belgium (VAT BE 0713.450.143) is responsible for the processing of personal data on this website, in the production portal (digitalpropstudio.com/portal) and in the DPS Player apps for Windows, Mac, Android, iPhone and iPad. Contact form

When you fill in the contact form, we process your name, email address, the name of your production (optional) and your message. Your IP address is also stored briefly to prevent abuse of the form (spam).

We use this data solely to answer and follow up on your enquiry. The legal basis is taking (pre-)contractual steps at your request, and, for spam prevention, our legitimate interest.

We keep enquiries for as long as needed to follow up on your request and any collaboration that results from it. You can ask us to delete your data at any time.

Analytics (cookieless)

We use our own cookieless analytics. There are no third-party advertising or tracking services on this site.

Per visit we record: country and city (derived from your IP address), device type (phone, tablet or computer), language, which parts of the page you viewed, how long you stayed and which website referred you.

Your IP address itself is not stored in the analytics. It is used to derive an anonymised code that changes every day, so visitors cannot be tracked across multiple days. Raw analytics data is automatically deleted after 90 days.

Cookies

This site uses a single functional cookie: dps_lang. It remembers your language choice (Dutch or English) for 12 months. There are no tracking or advertising cookies, which is why we do not show a cookie banner.

Your account in the portal and the Player

For an account we keep your name, your email address, your language, your role and the productions you have access to, and your phone number if you provide it. When you create an account, we also ask which production you work for.

Your password is handled by our database provider (Supabase). We never see it. We use your email address to confirm your account, invite you to a production and reset your password.

We use this data to give you access to your production's props and to handle requests. The legal basis is the performance of the agreement with you or your production.

Production data

A production manages its crew list (name, email address and role), its prop requests (including scenes, notes and the names of actors and the director) and messages to support in the portal. We use that data only to make, deliver and support props.

For reliability, we keep a log of changes to props, files and requests, including who made each change. This lets us trace errors and restore an earlier state.

What the DPS Player keeps on your device

Your sign-in is stored encrypted with your device's own protection: Windows data protection, the macOS and iOS keychain, or the Android Keystore. If you turn off "Remember me", the app does not keep your sign-in.

Props you make available offline stay in the app's data folder on your device until you turn that off or sign out. Copies of props you only opened online are removed after 7 days. Without internet you can open offline props for up to 30 days after the last check with DPS. When you sign out, the app removes your sign-in, your offline props and the list of recently opened props.

Which props you opened and pinned is kept only on your device, for the "Recent" and "Pinned" lists. The apps contain no advertising, no tracking and no third-party analytics. They ask our server whether a new version is available; the Windows app sends a random code with that request which says nothing about you.

On Android, if you allow it, the app can turn on Do Not Disturb while a prop plays, and use the proximity sensor to switch the screen off for a phone prop. The apps do not ask for access to your camera, microphone, location or files.

Changes to props

When you change a text or an image in a prop in the Player on Windows or Mac, we store the new version with the prop. We also keep the previous version, with the time and who made the change (email address or user code), so your production can undo a change.

Cookies in the portal

The portal uses only functional cookies: your sign-in session (30 days if you choose "Remember me", otherwise until you close the browser), dps_remember_me (that choice), dps_locale (your language), dps_theme (light or dark), dps_active_show_id (the selected production) and, only when you open a protected transfer, transfer_unlocked for 24 hours.

The portal measures its loading speed with Vercel Speed Insights. This works without cookies and without identifying you.

Who we share data with

We never sell or share your data for marketing purposes. We work with a small number of service providers who process data on our behalf: Vercel (hosting of the website and the portal), Supabase (database and sign-in, with servers in Ireland) and Cloud86 (hosting of the prop files and of our email).

Vercel is an American company. Where data is processed outside the European Union, the European Commission's standard contractual clauses apply.

How long we keep data

We keep your account data for as long as your account exists. We keep productions, requests, props and their previous versions while the production works with DPS and afterwards for follow-up seasons and later questions, unless the production asks us to delete them. The change log and messages to support belong to the production and are kept together with its data.

Deleting your account

To have your account deleted, email lander@digitalpropstudio.com. Within 30 days we delete your account, your profile and your name from crew lists, and replace your name and email address in the change log and in messages to support with "deleted user". Changes you made in a production stay with that production. You can also always have your email address or name corrected.

Your rights

You have the right to access, rectify, delete and port your data, and the right to object to or request restriction of processing. Email lander@digitalpropstudio.com and we will respond as soon as possible, at the latest within 30 days.

If you are unhappy with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority via dataprotectionauthority.be.

Changes

We may update this policy when the website or legislation changes. The date at the top always indicates the most recent version.
